Email Marketing Policy

This Email Marketing Policy (“Policy“) describes how Private Entrepreneur Yevhen Ivaniv, trading as e-Doc Ltd (together, “we,” “us,” or “our“), handles newsletter subscriptions and related email communications.

Important note on entity structure. The name “e-Doc Ltd” is a trade name (DBA, “doing business as”) used for branding and marketing. It does not denote a limited liability company or any separate legal entity. This Policy is issued by an individual entrepreneur (фізична особа-підприємець / FOP) registered under the laws of Ukraine.

This Policy applies only to promotional and newsletter communications — for example, a monthly digest or industry-insights newsletter. It does not apply to transactional communications about your order, quote, or project (those are governed by our Privacy Policy and Terms of Use).

1. VOLUNTARY, OPT-IN SUBSCRIPTION

1.1 Subscription to any newsletter or promotional content from us is strictly voluntary and opt-in. We do not add contacts to a marketing list without their explicit consent.

1.2 You may opt in by completing a dedicated subscription form on our Website. Where legally required (in particular, in the European Union), we use double opt-in — you confirm your subscription by clicking a link in a confirmation email before your address is added to the active list.

1.3 Submitting a quote request, contact form, or any other order-related communication does not automatically subscribe you to marketing emails. Your contact information is used only to respond to the specific request, unless you separately opt in to the newsletter.

2. PURPOSE OF COMMUNICATIONS

2.1 Newsletter emails from us may include:

• updates about new Services, features, or content we add to our Website;
• occasional limited-time promotions or discounts available to subscribers;
• industry insights related to document processing, OCR, DTP, and adjacent topics.

2.2 We do not share subscriber email addresses with third parties for their own marketing purposes. We do not sell subscriber lists. We do not engage in cross-promotion with other companies using your data.

3. SUBSCRIBER DATA

3.1 When you subscribe, we typically collect:

• your email address;
• your name (optional, if you choose to provide it);
• the date and source of your subscription;
• your engagement data (which emails you opened, which links you clicked) — used to improve the relevance of our content.

3.2 This information is stored securely and used only for the purposes described in this Policy.

3.3 Detailed information about how your subscriber data is processed and retained is set out in our Privacy Policy.

4. EMAIL SERVICE PROVIDER

4.1 We use SendPulse (operated by Brainify Group, Inc., headquartered in Cyprus, EU) as our email service provider. SendPulse manages our subscription list and sends our newsletter emails on our instruction, under a data-processing agreement that restricts use of subscriber data to our instructions only.

4.2 Your email address and engagement data are transferred to and processed by SendPulse on our behalf. SendPulse operates data centres in the European Union and the United States. Transfers to data centres outside the European Economic Area are covered by appropriate safeguards, including Standard Contractual Clauses (SCCs) where applicable.

4.3 SendPulse’s privacy practices are described in the SendPulse Privacy Policy.

4.4 If we change our email service provider in the future, we will update this Policy and our Privacy Policy, Section 4 (list of subprocessors) accordingly before the change takes effect.

5. UNSUBSCRIBING

5.1 Every newsletter email we send contains a clearly visible unsubscribe link at the bottom. Clicking it immediately removes you from the active mailing list, without any further confirmation required.

5.2 You can also unsubscribe at any time by emailing info@e-doc.ltd with “unsubscribe” in the subject line or body. We process such requests within three business days.

5.3 Unsubscribing from marketing communications does not affect transactional emails related to your orders, quote requests, or project communications.

6. DATA RETENTION

6.1 Subscription data is retained until you unsubscribe.

6.2 Subscribers who do not open or interact with any email from us for 12 consecutive months are considered inactive. We may remove inactive subscribers from the list to maintain list health and comply with data-minimization principles.

6.3 After unsubscription or inactivity removal, we retain a minimal suppression record (typically a hashed email) to ensure you are not accidentally re-added to the list if you submit your email through a different channel. The suppression record is retained for as long as reasonably necessary to prevent re-subscription.

7. YOUR RIGHTS

7.1 You have the same rights with respect to your subscriber data as for any other personal data we process — see Privacy Policy, Section 10.

7.2 In particular, you have the right to:

• access the personal data we hold about you;
• correct inaccurate data;
• request deletion of your data (though unsubscription via the link is usually the simplest route);
• withdraw consent to receiving marketing communications at any time.

8. PREVAILING LANGUAGE

This Policy may be published in both English and Ukrainian versions. In case of any discrepancy, conflict, or ambiguity between the two versions — whether the Ukrainian version is published on the Website or exists only as an internal working document — the Ukrainian version prevails for all purposes of interpretation and enforcement.
